What are the hours/days available?
Hale Farm & Village (HFV) spaces are available for rent, year round, on a first come, first serve basis. Availability of days and hours varies seasonally. Please contact HFV for details. 330-666-3711 x1718 or email halerentals@wrhs.org.
What does a rental cost?

What does the rental fee include?
All rentals include Hale Farm & Village event staff who will help coordinate and oversee your event. Amenities included vary with each site. Please view the links for the different spaces to find out what is included or contact HFV for details at 330-666-3711 x1718 or email halerentals@wrhs.org.
How and when may I secure my date for my event?
If available, space can be reserved as early as two years prior and as late as two weeks prior to the event date. A signed rental agreement and a 50% non-refundable deposit are required to reserve the space.
What forms of payment are accepted for my event?
Hale Farm & Village accepts cash, check, Visa, MasterCard, Discover and American Express. Checks should be made payable to Hale Farm & Village. Checks are not accepted for the balance due on alcohol.
Do I have to use one of the caterers from the list of preferred caterers?
No. You may pay a “pass through fee” of $250.00 to use another caterer. Hale Farm & Village must approve the caterer. The caterer must provide HFV with their proof of insurance, workers comp certificate and a food license. The caterer must sign a catering contract with HFV for your event. The caterer must also agree to pay HFV a 20% commission on the banquet bill.
Do I contact the caterers directly?
Yes. You may contact the caterers directly.
What will the caterers provide?
Your caterer will provide all food and non-alcoholic beverages. They will also take care of setting up and tearing down for your event. Some of the caterers can also provide linens, glassware, etc.
Does Hale Farm & Village provide linens, glassware, silverware, plates, etc.?
No.
Can we carry in our own food?
No, you may not. All food items must go through the caterer. However, you can talk with your caterer about coordinating special, homemade food items as part of your menu - even those you make yourself.
Can I bring in my own alcohol?
It depends. Hale Farm & Village owns a liquor license but the entire property is not licensed. Rentals in the Gatehouse must purchase alcohol from Hale Farm & Village while alcohol for rentals in the Carriage Shed Picnic Pavilion can be carried in. Hale Farm’s Rental Sales Manager will be glad to go over the details with you and your obligations for purchasing alcohol will be stated in your contract.
If you are serving alcohol at an after-hours event you must arrange for an off-duty Bath Township Police Officer to be onsite.
How do I order alcohol for our event?
We will provide you with a list of available beer, wine and liquor to choose from. We will do our best to accommodate special orders of items not on the list.
How can I hire a bartender?
We recommend using the bartending services of one of our Preferred Caterers (listed above) or contact Ozzie’s Bartending Service at 330-836-2306. Your bartender is responsible for providing the entire back bar – glassware, ice, straws, fruit, mixes, etc.
How many Hale Farm Event Staff will I have to hire for my event? How much will this cost?
The number of HFV Event Staff depends upon the nature of your event and the number of guests in attendance. Typically, one HFV Event Staff person is required for every 50 guests in attendance, so an event with 150 guests would require three Event Staff persons. Outdoor events or those with extensive setup may require more HFV Event Staff. The cost for event staff is included with the rental fee.
Can I do an outdoor event?
Yes. However, Hale Farm & Village does not provide an alternative indoor space in the event of inclement weather. The only way to guarantee an indoor space is to rent one.
Are tents permitted on the grounds?
Yes, tents are permitted in select areas of the grounds. Tents large enough for 800 people have been used in the past.
Does Hale Farm & Village have a tent available for rent?
No. You would need to contact a tent rental company to provide this service. The tent rental company must be approved by Hale Farm & Village and the location of the tent must be approved by Hale Farm’s Maintenance Manager. The rental client is held responsible for the actions of the tent company which may lead to the puncture of a gas line, sewage pipes, etc. Repairs from any damage caused by the tent company will be billed to the rental client.
What about decorations?
Decorations must be set up and taken down within the contracted hours. Extended hours for decorating may be available at an additional fee and must be reserved with HFV in advance.
You may not use nails, tape, staples, glue or any other item that could cause damage to HFV’s facilities. All decorations, signs, etc. must be removed from the premises at the end of your event. Live greenery and floral arrangements must be removed from the building at the end of the event. Smoke, fog or haze producing equipment is not permitted.
Throwing of real flower petals, rice, birdseed, glitter, confetti, etc. is not permitted on the HFV grounds – indoors or outdoors. Silk flower petals may be used in the Meetinghouse (chapel). The release of butterflies and birds is permitted. Blowing bubbles, ringing bells, noisemakers and ribbon wands are permitted.
Where are my guests allowed to park and how many spaces are available?
Parking is in the main parking lot near the Gatehouse Visitor Center. The lot accommodates about 200 cars with overflow parking for 200 more. For large events (more than 300 people) we suggest you hire parking attendants or a valet service. HFV does not provide parking attendants or valet service.
Depending upon weather and scheduling it is sometimes possible to park cars elsewhere on the grounds. All in all, HFV can help arrange parking for up to 800 cars.
How will my guests get from the parking lot to the Meetinghouse?
Guests are always welcome to walk. You may also rent Hale Farm’s tram to transport guests on the property.
May I store my materials for the event on site?
Items for your event can be delivered the day before. Delivery time must be pre-arranged. We will provide you with an area for storage. Following the event, all items must be broken down and removed from HFV property. HFV must approve, in advance, any rental items being picked up at a later time. Event rental items may not remain on the premises more than 72 hours following the event.
What is the cancellation policy?
Cancellations must be submitted in writing. Cancellations can be mailed to: Hale Farm & Village, P.O. Box 296, Bath, Ohio 44210 or faxed to 330-666-9497. Deposits are non-refundable. Events cancelled less than 30 days prior require the full balance to be paid.
Can my guests smoke?
Yes. Hale Farm will provide a designated smoking area for your guests. Smoking may take place only in these designated areas.
Can Hale Farm’s staff set up my tables and chairs?
No. While Hale Farm staff will oversee the process, set-up for events is done by your caterer. HFV highly recommends that you hire a full service caterer for this purpose. All of our Preferred Caterers are full service caterers who will be responsible for set up. If your caterer will not provide this service then you are responsible for finding family or friends who will take responsibility.
If you are holding an outdoor event without food, such as a wedding ceremony, the Hale Farm Rental Sales Manager will work with you to create a plan for the set up of chairs, etc. The execution of the plan varies depending upon the size of your guest list and the extent of set-up involved.
Who is responsible for cleaning up after the event?
The caterers and vendors hired by the renter are responsible for thorough cleaning following your event. If you have not hired a full service caterer, you will be responsible for cleaning. This includes removal of trash to the dumpster, mopping floors, etc. At the conclusion of the event, Hale Farm staff will go over a check list with the person(s) responsible for overseeing the cleaning.
The HFV staff is responsible for cleaning the restrooms.
Can my guests tour the museum grounds and historic buildings?
During the hours Hale Farm & Village is open to the public, self-guided tours are offered at a cost of $10 per adult; $5 per child, ages 3 to 12; children 2 and under are free.
During the house Hale Farm & Village is closed to the public, guests will have limited access for walking the grounds during daylight hours. Guided tours of the grounds and historic buildings can be done by one or more of our staff members. The cost varies depending upon the number of hours requested and the number of guests in your group.
