NOTE: This registration form MUST be completed for all military and civilian participants, including spouses, family members, etc. Please indicate if any participant is under the age of 16.

Registration cost is $6.00 per person age 16 and above if preregistered prior to July 13, 2007. Preregistration after this date will be $ 10.00 per participant. This fee helps to defray the costs of firewood, water, portable restrooms, straw, Saturday evening’s supper and dance, as well as on-the-grounds 24-hour security provided by Hale Farm & Village.

Participants must RSVP for Saturday evenings dinner at the time they pre-register. Only those participants that RSVP in advance will be able to attend the dinner.

Your event pass and dinner pass will be issued upon arrival and check-in at Hale Farm & Village. Please note registration hours on instructions and information sheet.

General Instructions & Information

Please review thoroughly all instructions contained in this registration packet. Any questions or con-cerns may be addressed by calling HFV at 330-666-3711

REGISTRATION:

• All participants, including Sutlers, Military, and Civilians must pre-register for this event.
• Upon arrival, all participants must check in at the admissions tent to receive their event pass, which must be carried by each participant at all times during the event.
• Any unpaid fees must be paid in full at the time of arrival and check-in.
• Due to insurance reasons, Hale Farm will not accept walk-ons to this event unless the individual is a member of a unit that is pre-registered. If the individual’s unit is not registered they must show proof that they are a member of their nationally recognized organization, and will need approval from the on-site Confederate or Federal commander.
• No minor (under age 18) in costume seeking to be part of the battle will be admitted on a daily basis unless accompanied by a registered, reenacting parent.
• Costumed civilian walk-ons will not be admitted.
• All Confederates must be members of the 7^th Btn. ANV or have prior approval from the overall Confederate commander.
• All participants planning to attend Saturday evenings dinner must RSVP at the time of preregistrations.

ADMISSION/LATE REGISTRATION TENT HOURS:

• Friday, August 10, 3:00 PM – 9:00 PM
• Saturday, August 11, 8:00 AM – 4:00 PM
• Sunday, August 12, 8:00 AM – 12:00 PM

SUTLERS:

• Each Sutler must provide their own period tent.
• Site assignments will be made upon arrival.
• Set up may begin for the event Friday, August 10 at 10:00 AM
• Requests for an earlier setup time/day must have prior approval from the Site Manager at Hale Farm & Village.

ALL PARTICIPANTS: Tear down will begin Sunday, August 12, after the event closes to the public at 5:00 PM.

PARKING:

• All participants must park in specifically designated parking areas of the museum.
• Please notify us of any special needs BEFORE the event.
• All vehicles must be removed from the event site to the designated parking areas by

9:30 AM both Saturday and Sunday. No vehicles will be allowed on the Museum grounds during regular business hours.

CAMPING:

• Camping areas are close to water and toilets.
• Electrical hook-ups and showers are not available on the grounds.
• Ice for personal use (coolers, beverages, etc.) may be purchased from Hale Farm & Village during regular business hours.

GENERAL CONDUCT:

• All participants must conduct themselves in an appropriate manner for a family oriented museum at all times.
• PERSONAL SAFETY is of utmost importance to Hale Farm & Village, the event participants, and the attending public. ALL PARTICIPANTS MUST STRICTY ADHERE TO ALL NATIONAL LIAISON COMMITTEE SAFETY REGULATIONS (NLC).
• Children under age 16 must be supervised at all times by a parent or guardian.
• NO ALCOHOL is permitted on the grounds of Hale Farm & Village.
• NO PETS are permitted in the grounds of Hale Farm & Village.
• NO CLEATS are to be worn in any Museum building on the site.
• Noise should be limited in all camps during evening hours.
• Sod is to be removed before digging any fire pit, and is to be replaced on Sunday morning.
• Trash containers provided by Hale Farm & Village are to be utilized at all times.
• All unused firewood must be returned to the main woodpile at the close of the event.
• Hale Farm will provide straw bales and each bale must be shared by 3 individuals.

PLEASE NOTE:

Hale Farm reserves the right to request anyone who does not maintain good conduct or act in a safe manner to leave the event immediately.

Dear Civil War Participant:

Hale Farm & Village hopes that you are once again planning to participate in the Civil War weekend event scheduled for August 10, 11 & 12, 2007. Registration materials are enclosed and are also available on our website www.wrhs.org.

This year the mailing is being sent directly to unit representatives and primary civilian liaison contacts in an effort to simplify the registration process. Please take a moment to review all of the enclosed materials. Copies of all enclosed materials may be downloaded from the Western Reserve Historical Society website mentioned above. Please make as many photocopies as you require.

Your unit may mail in the registrations and pay as a group. However, please make certain that each person knows that they must sign a Participation & Risk Agreement upon registration and check-in on site. Due to insurance reasons, Hale Farm will not accept walk-ons to this event unless the individual is a member of a unit that is pre-registered. Additionally, all Confederates must be members of the 7^th Btn. ANV or have prior approval of the overall Confederate commander. If the individual’s Federal unit is not registered they must show proof that they are a member of a nationally affiliated organization, and will need approval from the Federal commander.

All participants will be provided with an event pass, which must be carried at all times. These passes will be provided upon arrival and check in at the registration tent. Please note even pre-registered participants MUST check-in upon arrival.

Hale Farm & Village will once again host a supper and a dance on Saturday evening. Supper will be at served at 5:30 PM. Participants must RSVP for Saturday’s evening supper at the time they pre-register for this years event. The dance will once again take place behind the Meetinghouse in the historic Village and will begin at 8:00pm.

1. I will abide by all rules and guidelines detailed in the 2007 General Instructions & Information sheet.
2. I will supervise at all times and take full responsibility for any children under age 16 that I have brought with me to the Hale Farm & Village event.
3. I understand that no alcohol is permitted on the Hale Farm & Village grounds at any time during the event.
4. I understand that no vehicles are permitted on the grounds of Hale Farm & Village during normal Museum hours. (9:30 – 5:00 Saturday and 9:30 – 5:00 Sunday)
5. I will strictly adhere to all N.L.C. Safety Regulations at all times. If I have not yet read these regula-tions, I will ask for and have read a copy before the event. These regulations are available online at the Official Site of the United States Volunteers Inc. at www.usvolunteers.org.
6. I further understand that Hale Farm & Village reserves the right to request that anyone who does not maintain good conduct or abide by safety rules leave the event and the Hale Farm & Village prop-erty immediately.

I have read and understand the above information. I agree to adhere to the above rules while a participant on the premises. Further, I acknowledge that as a reenactor involved in portraying period life there is inherent risk in the activities and battles in which I will be participating. I do hereby release and hold harmless “The Western Reserve Historical Society” and/or “Hale Farm & Village,” their agents and employees from and against any and all claims or liabilities which may be asserted against them arising from any personal injury or property damage sustained by myself and any of my minor children.
